Billing and Insurance Clerk
Job Title: Billing/Insurance/Collections Clerk, Business Office
Position: Full-Time/ Benefits Eligible
Reports To: Controller
FLSA Status: Non-Exempt

Position Summary
The Billing/Insurance/Collections Clerk is responsible for managing all aspects of electronic claims submission and retrieval, working with various insurance providers and self-pay patients, and following up on claim statuses. This role requires the use of the telephone and computer system for processing payments, collections, and ensuring correct reimbursements for Cherry County Hospital and Clinic. Strong accounting and data management skills are essential.

Duties and Responsibilities
Responsibilities include but are not limited to:

- Answering incoming phone calls and assisting patients with billing and insurance-related questions
- Advising patients of privacy laws upon check-in at the clinic
- Recording payments, including Medicare, Medicaid, insurance, and self-pay accounts
- Filing Nebraska and South Dakota Medicaid forms
- Making collection calls for past-due accounts
- Submitting and retrieving electronic claims
- Processing manual claims, including welfare, PPOs, maternity claims, and denials
- Processing disability claims and attending physician statements for health and life insurance
- Assisting patients with insurance forms, payor applications, and charity care questions
- Following up with insurance companies to ensure claims are processed
- Maintaining insurance files, including copies of insurance cards and signatures
- Researching necessary information to complete billing processes
- Distributing monthly billing statements to patients
- Following up on unpaid accounts and resolving any billing errors or complaints
- Assisting with coding and error resolution
- Securing prepayment or monthly payment agreements with patients
- Processing all necessary paperwork for maternity cases, including coverage verification and payment plans
- Identifying and working with patients to resolve delinquent accounts
- Preparing and processing information for collection agencies
- Ensuring confidentiality of patient records, in compliance with HIPAA
- Attending educational seminars to stay current with industry practices
- Complying with hospital personnel policies and Corporate Compliance procedures
- Performing other duties as assigned by the supervisor

Skills and Abilities Required

- Strong communication skills for interacting with the general public, staff, and patients
- Good organizational skills with the ability to multitask
- Strong reading and comprehension skills, especially for medical terminology and procedures
- Proficient in keyboarding and data entry
- Ability to work under pressure and adapt to changing environments
- Knowledgeable in state and federal confidentiality laws, including HIPAA
- Professional, friendly, and courteous attitude towards patients and coworkers
- Strong attention to detail and accuracy in processing claims and payments

Minimum Job Requirements

- High school graduate
- Must be bondable
- Knowledge of insurance industry practices for claim payments
- Experience with computers and customer service
- Previous hospital or healthcare experience preferred, as well as familiarity with medical terminology

Physical Demands and Working Conditions

- Requires prolonged sitting, standing, and occasional bending when filing or lifting records
- Repetitive use of hands, arms, and eyes may cause strain
- Work in a clean, office environment in close proximity with others
- Monday through Friday schedule during regular office hours, with potential for overtime or callback during evenings and weekends
